Plans break; politeness does not.
计划会变，礼貌不变。
Changing a plan in writing is a four-step dance: apologise, reason, proposal, confirm.
书面改计划是四步舞：道歉、原因、提议、确认。
Steps one and two take the wall down, steps three and four build the bridge up, and the message ends on a question so the reply has somewhere to land.
前两步拆墙，后两步搭桥，结尾用问句给回复留落点。
A polite change is a bridge, not a wall.
礼貌的变更是补桥，不是砌墙。
The skeleton has four steps. Hi Ana, sorry, I cannot come on Saturday: the apology names the break. My cousin arrives that morning: one honest line of reason. Could we meet on Sunday instead: the proposal, with instead as the bridge word. And would ten o'clock work for you: the confirming question the reply lands on. Four steps, one message, nobody loses face.
骨架四步：道歉点明变动；原因一行诚实交代；提议用 instead 架桥；确认以问句收尾让回复有处落。 四步一条消息，谁都有面子。
The politeness ladder has three rungs. To a friend with a small change: sorry, can we move it to three. To a classmate the same day: I am sorry, but could we. To a teacher, formally: I am very sorry, but would it be possible to. The apology climbs faster than the request, and by the teacher rung both stand at the top. The word instead appears at every rung, turning refusals into proposals.
礼貌阶梯三级：朋友小事用 Sorry! Can we；同学当天用 I am sorry, but could we；对老师用 I am very sorry, but would it be possible to。 道歉比请求爬得快，到老师一级两者都到顶。 instead 每级都在，把拒绝变成提议。
Two worked messages, one skeleton. To a friend: hi Bo, sorry, I cannot play on Thursday, my music lesson moved to five, is Sunday morning OK, we could use the school pitch, Lin. To a teacher: dear Ms Gao, I am very sorry, but I will be away on Friday because of a family matter, I will collect the notes from Mei, would it be possible to hand in the homework on Monday, thank you, Lin. The friend message takes twenty seconds to read; the teacher message thirty; both carry all four steps and end on a question.
两条范文一个骨架：给朋友二十秒读完，给老师三十秒；都是道歉+原因+提议+确认，都以问句收尾。 请病假也要补桥。
Watch out for three traps. Do not only say no: I cannot come by itself is a wall; the reason and the new idea are the bridge. Do not over-apologise: one sorry at the top is polite, and three sorries in one line read as panic. And when you answer a message that asked a question, answer it first, yes or no, and then propose the change.
三个陷阱：只说“来不了”是砌墙，理由加新主意才是桥；道歉一次是礼貌，一行三个 sorry 是慌乱；回复先答 yes/no，再提变更。
Check yourself. Name the four steps in order. Write step three for I cannot meet on Saturday, proposing Sunday at ten.
